1. Information We Collect
We may collect information you provide when you request a quote, schedule a walkthrough, contact us, or become a customer. This may include your name, company, email address, phone number, facility address or ZIP code, facility details, preferred contact method, requested services, and information you include in messages to us.
Technical and security information
When you visit the website or submit the quote form, our website uses the request IP address for rate limiting and may include it in Cloudflare Turnstile verification. Turnstile evaluates browser and device signals to detect automated traffic. A submission time is recorded with each signed quote-request email. This information supports website security and abuse prevention.
2. How We Use Information
We use information to respond to quote requests, schedule and perform walkthroughs, prepare proposals, communicate about services, provide customer support, operate and secure our website, maintain business records, and comply with legal obligations.
Quote requests and business records
The public quote form sends the information you submit to our business email. An existing Google Apps Script may import signed quote-request emails into Google Sheets for lead and optional SMS-consent records. Our team may also enter relevant information into a private business application to manage walkthroughs, proposals, clients, schedules, invoices, and service. Submitting the public form does not itself create a client account in that application.
Planned customer quote and setup portal
We plan to offer invited customers secure online links to respond to a finalized quote and provide or confirm contact information, service and billing addresses, communication preferences, and optional SMS consent. The live customer portal is not currently available. If enabled, a quote response would record acceptance or decline of a specific proposal; it would not itself authorize payment or replace a separately required service agreement. Any contractual effect of accepting a proposal depends on its terms and applicable law. We will review this Policy against the live portal before launch.
3. SMS and Text Messaging Privacy
Optional SMS messaging is being prepared but is not currently available. The website can record separate service and marketing SMS choices, but submitting a preference does not cause a text message to be sent now. Before any future texts, the business must review the program, applicable requirements, and whether previously recorded consent remains sufficient.
Service-related text messages
If SMS becomes available later, service-related texts may concern a request or service you initiated, such as cleaning quotes, walkthroughs, appointments, invoices, payment reminders, schedules, and service updates. Checking the optional service SMS box records a separate service preference; selecting Text as a preferred contact method alone does not give SMS consent or enroll you in promotional messages.
Marketing and promotional text messages
If marketing SMS becomes available later, promotional texts may include occasional offers, seasonal specials, and service announcements. The marketing SMS choice is separate and requires an affirmative selection; it is not required to request a quote, purchase services, or enter into a service agreement. No promotional SMS is currently being sent through the planned program.
Mobile opt-in information, including phone numbers and SMS consent, will not be shared with third parties or affiliates for marketing or promotional purposes. Happy Vac Co. does not sell or rent that information. Happy Vac Co. uses it to send communications customers have agreed to receive and to maintain consent records. Authorized service providers may process it only as needed to support those communications, consent records, and related business systems on our behalf; they may not use it for their own marketing purposes.
Message frequency, charges, STOP, and HELP
SMS is not currently available, so STOP and HELP replies are not available through the planned program today. If messaging begins, message frequency may vary and message and data rates may apply. STOP opt-out and HELP assistance must be verified before activation. To withdraw a previously submitted SMS preference or update your contact preferences now, email hello@happyvacco.com.
4. Service Providers and Disclosure
We may use service providers to host and secure our website, deliver email and, if enabled later, text communications, maintain business records, and support business operations. We may also disclose information when required by law, to protect our rights or customers, or in connection with a business transaction. The SMS-specific restrictions described above continue to apply to mobile numbers, opt-in data, and SMS consent.
Existing technology and payment providers
Cloudflare hosts and protects the website and private application and provides document storage for billing PDFs. Google email and Sheets support lead and consent recordkeeping. Resend delivers some business email. When we provide a Stripe-hosted payment link for an invoice, Stripe processes the payment details on its checkout page; we receive the related payment status and invoice references. Our discontinued customer photo-upload feature is not part of the current service.
5. Cookies and Similar Technologies
The public website uses Cloudflare security features, including Turnstile to protect the quote form from spam and automated submissions. During owner checks of the homepage and quote page in normal and Incognito Chrome sessions, a Cloudflare cf_clearance security cookie was observed for .happyvacco.com, and a cf.turnstile.u local-storage entry was observed under challenges.cloudflare.com. No other cookies or local-storage entries, and no session-storage entries, were reported in those inspected sessions. Security storage can vary with browser conditions and Cloudflare settings.
The reviewed public website code itself does not set cookies or use local or session storage for quote requests, and it contains no analytics or advertising scripts. No analytics or advertising cookies were observed in the checked sessions. Those observations do not establish what every visitor receives or replace a full network-request review.
The reviewed public website code does not use browser Do Not Track or Global Privacy Control signals to change its quote form or security checks. We found no analytics or cross-site advertising scripts in that code. We do not offer a separate cookie preference on the public quote form because the reviewed code has no optional analytics or advertising technology to switch off. Applicable privacy obligations and live technology practices require further review; if they change, we will revisit this notice and any controls that may be needed.
6. Data Security and Retention
We use administrative and technical safeguards designed to protect information, though no method of transmission or storage can be guaranteed completely secure. Public quote requests are sent by business email rather than written directly to a customer database on this website. Copies may also be kept in Google Sheets and, when relevant, in our private business application. Records may be retained for business operations, accounting, dispute handling, and applicable legal obligations; retention periods can differ among systems. Contact us about a particular record.
7. Your Choices
You may choose not to provide optional information, select Email or Phone for quote communications, and leave either optional SMS checkbox unchecked without affecting your ability to request services. To ask about information you provided or request a correction, update, or deletion, email hello@happyvacco.com. We will review the request and may need to keep certain records for legitimate business or legal reasons.
8. Changes to This Policy
We may update this Privacy Policy to reflect changes in our services, practices, or legal obligations. The current version and its effective date will be posted on this page. For material changes, we may post an additional notice on the website or use another appropriate communication method.
